What does Loom do?

Loom Post-Production, with its EU offices in Brussels and Mechelen (Belgium), is a creative and international post-production studio. Our passion is to support and elevate visual storytelling for film, television, branded content, and music videos. Loom works closely with creators, studios, and production companies to provide editorial, color grading, visual effects, motion graphics, mastering, dailies, and other post-production services.

To provide these services, Loom processes personal data of natural persons in the context of its activities, and this may concern natural persons who are (potential) customers of Loom or its partners, the contact persons within the active network of Loom, its employees, HR, etc.

Which personal data is being processed by Loom?

Loom processes the personal data necessary for the execution of its agreements that are concluded in the context of its activities, and also processes the data that are necessary for Loom to carry out its (commercial) activities.

This may include your name, first name, contact details, choice of language, company or VAT number, bank account number, credit card number, email address, as well as communications you have with Loom as a current or potential customer.

Loom rarely processes sensitive personal data within the framework of the GDPR, and only if necessary.

When subscribing to the Loom newsletter, you will regularly receive a newsletter at the specified email address. Loom uses this email address only for the services for which it was subscribed. You can unsubscribe at any time via the link at the bottom of each newsletter or by requesting this via email to hello@loom.tv.

Within the framework of any services and activities offered by Loom, it may be necessary for Loom to take photos, images and/or audiovisual recordings on which the customer or involved natural persons are (partially) visible or recognizable. You acknowledge that (processing of) such photos, images and/or audiovisual recordings are therefore necessary for certain activities and/or requested services. By confirming the service, you give your consent to the recording and use of these images (by means of a contract of explicit approval or any other legal basis of processing as set forth below). We never misuse this information and only use it to improve our services, and always in accordance with applicable law.


Legal basis and purposes of processing

Processing in the context of to-be-concluded or current agreements is the most important legal basis for data processing by Loom.

If necessary, your additional, explicit and specific consent for the processing of your personal data will be requested in accordance with the GDPR. A given consent can be withdrawn at any time, free of charge and electronically, unless there is another legal ground for the processing.

Loom may also process your data based on a ‘legitimate interest’. For example, Loom may inform you about new, relevant offers related to your relationship with Loom. We will always do this within reasonable limits and never in an aggressive or undesired way.

If you communicate a testimonial to Loom with regard to the services it offers/offered and the use thereof, you give permission, and Loom has the right, without obligation, to communicate this testimonial and publish it on the website and platform of Loom, which may also include certain personal data such as your name, zip code, or professional activity. Source of personal data

Loom obtains the personal data it processes, in the first place, from the natural persons themselves (directly). We never misuse this data and only use it to improve our services to you.


Duration of processing

Loom does not retain the personal data it processes for longer than necessary for the purposes of the processing. This is reviewed and evaluated regularly.

In principle, Loom does not retain personal data for more than five (5) years from the moment the data was obtained. If necessary—for instance in case of legal proceedings or contractual obligations—personal data may be kept longer.

Loom does not retain personal data from its employees longer than five (5) years after the termination of the employment contract/service agreement, except in the case of legal proceedings, in which case the data can be processed up to three (3) years after the final settlement.

Any sensitive data will only be kept for the duration necessary for the performance of the contract concerned or as long as it is necessary to allow Loom to show that it has executed the agreement correctly.

Loom keeps the personal data it processes up to date and corrects them where necessary.


Security of personal data

Loom guarantees the integrity, security and confidentiality of personal data, both technically and organizationally. Loom stores important or sensitive personal data on its own secure servers or on secure third-party servers.


Processing by / transfer to external partners

Primarily, Loom processes personal data itself (internally and externally for communication purposes).

Loom only shares data with third parties when necessary. Only the data that are strictly necessary are communicated. Loom may transfer personal data to external partners, but only to the extent necessary for the performance of its activities. Agreements are always concluded with these partners, and contractual provisions limit the use and processing of your personal data and guarantee adequate protection of your data.

The transfer of personal data to foreign parties outside the EU can be necessary for concluded agreements in the context of their execution, and you also give permission for this processing (including within the general or specific terms and conditions concluded with Loom). This is also within the interest of the customer.

If Loom transfers personal data to someone outside the EU who is not on a list of ‘safe countries’ (in the context of the GDPR), then it will enforce the appropriate security guarantees to the extent possible.

Loom ensures, to the maximum extent, that the external partners who process personal data or who are (co-)responsible for data processing comply with the provisions of the GDPR. To this end, Loom aims to conclude as many ‘processing agreements’ as possible with its main partners.
